Planning a Business Website or Web App: Scope, Cost and Handover

A practical guide for businesses choosing a development partner: define the first release, compare proposals, plan integrations and agree ownership before you start.

Before comparing development companies, write down what your customers and staff must be able to do. A shared feature list and acceptance process make proposals easier to compare. This guide explains the questions we use to scope a project; examples are illustrative, and pricing or delivery dates require a review of your actual requirements.

Do you need a website or a web application?

A business website helps visitors understand your services, review your work and send an enquiry. A web application supports tasks such as managing an account, booking under specific rules, approving requests or viewing private information. The distinction affects permissions, data storage, testing and maintenance. Describe the task first rather than choosing a technology or asking for a fixed number of screens.

For example, a service company may initially need service pages and a reliable enquiry form. If customers must see live availability, pay, reschedule and receive status updates, those are separate workflows that need backend rules and integration checks. Separate the launch essentials from features that can wait.

Write a brief that a development team can estimate

Include your business goal, intended users, essential journeys, page types and administrative tasks. Name the person who will approve the work. Add the current website or application, any available designs, and a list of integrations such as payment gateways, email, maps or a CRM. State your budget range and preferred launch window so the supplier can explain what fits and what needs a later phase.

Content readiness matters. Identify who supplies service descriptions, logos, photography, legal text and translations. For a redesign, list the existing pages and data that must be retained. Confirm whether staff need to change content themselves and who will maintain those editing tools after launch.

What determines the cost and timeline?

Cost depends on the variety of page layouts, design work, user roles, integration complexity, migration and testing requirements. Ten similar information pages can be simpler than one booking screen with several exception rules. Request a breakdown for discovery, design, implementation, testing, launch and support. Ask which third-party charges are recurring and which are optional.

A delivery plan should identify dependencies: content approval, access to an existing system, payment-provider onboarding and stakeholder feedback. Ask how changes will be estimated and approved. A fixed quote is meaningful only when the scope, assumptions, exclusions and acceptance checks are clear. We agree project pricing and dates after reviewing these details rather than publishing an unsupported universal package.

Compare proposals using the same acceptance checks

Choose a few complete journeys and describe what successful completion means. For an enquiry, check that a customer can find the right service, submit on mobile, receive an appropriate confirmation and reach the responsible team. For an application, include permission boundaries, invalid inputs, duplicate actions and failures in connected systems. Ask the supplier to demonstrate the agreed checks before handover.

Review actual client work and ask what the team delivered on each project. A homepage image alone does not establish responsibility for the backend, mobile app or ongoing support. Our public SirfService and Commune World case studies describe complete digital-solution deliveries; the F2DF case study describes phased platform modernization. They represent different scopes, not interchangeable promises for a new project.

Agree ownership, launch and ongoing support

Define who owns the domain, hosting account, source repository and business data, and document how access transfers. The handover should identify deployment instructions, environment configuration, backups, content editing and support contacts as applicable. Share credentials through an agreed secure method, not in a public brief or portfolio.

For a redesign, preserve valuable URLs or map permanent redirects, check the sitemap and confirm that enquiry forms work. Include a plan to measure accepted enquiries and review search visibility after launch. Search engines control crawling and ranking; metadata and a sitemap help describe the site but cannot guarantee a position. Separate defect correction from new features and ongoing maintenance in the agreement.

Working with a Noida team from India or overseas

Remote delivery works best with an agreed meeting overlap, written decisions and a named approver on each side. Establish the currency, payment milestones, communication channels and review process in the project agreement. Do not assume round-the-clock support or a particular timezone coverage unless it is explicitly included. Kodeverse Solutions is based in Noida and discusses these arrangements with each client.

A short brief you can copy

Business goal: __. Primary users: __. Current website or system: __. Essential pages and user journeys: __. Staff/admin tasks: __. Integrations and migration: __. Content and design owner: __. Budget range: __. Preferred launch window and dependencies: __. Decision-maker: __. Acceptance checks: __. Ownership and support requirements: __.

Send this brief when you enquire. A useful next step is a scope discussion that resolves missing information and separates essential work from later improvements. You should leave with a clearer delivery plan, not a commitment based only on a headline price.
